VA Policy

This VA Policy explains how virtual assistant ("VA") engagements with Hireaghlva ("we," "us," "our") work — from onboarding and account access through to how we treat the VA team actually doing the work. It applies to Hourly, Part-Time, and Full-Time VA plans described on our Pricing page. Our VA team is based in Pakistan; the holiday and leave terms below reflect that.

1. Scope of work

Each VA engagement covers GoHighLevel-related work: automation and workflow builds, snapshot imports and customization, custom dashboards, custom object and API-related tasks, pipeline and calendar management, and related account administration, as agreed during your scope call. Work outside GoHighLevel (e.g., accounting, personal admin, unrelated software development) is not included unless separately agreed in writing.

Hourly plans are billed against specific, agreed tasks. Part-Time and Full-Time plans allocate a set weekly hour capacity (approximately 20 and 40 hours respectively) to your account, prioritized according to the task list you provide.

2. Onboarding & trial period

Once you sign up, your VA is matched and ready to start within 5 business days. The first 3 months of any Part-Time or Full-Time plan run as a trial period: if it's not the right fit, you can cancel with 2 business days' notice before your next invoice is charged — no long-term commitment required to get started.

3. Notice & cancellation

Beyond the trial period, either side can end a Part-Time or Full-Time engagement with 15 business days' advance written notice — whether that's us reassigning/removing a VA from your account, or you deciding to move on. This applies symmetrically: a VA who needs to step away also gives 15 business days' notice, so you're never left without a handoff plan. Hourly work has no ongoing commitment and can stop at any time once billed hours are settled.

4. Billing & payment

Part-Time and Full-Time plans are billed in advance on a recurring monthly cycle. Once a recurring invoice has been paid, that month is locked in — see our Refund Policy for how this applies to refund eligibility. Hourly work is billed against tracked, agreed tasks.

5. Replacement guarantee

If a VA isn't working out for reasons of fit or performance, we'll assign a replacement VA within 5 business days at no extra cost. You won't pay twice to fix a mismatch.

6. Account access, confidentiality & data security

Every VA signs a non-disclosure agreement before receiving any account access, and every VA we place has been background-checked before hire. Access is scoped to what's needed for your engagement — sub-account or agency-level, plus limited access to connected third-party tools where relevant — and can be revoked by you at any time. We recommend using GoHighLevel's built-in team/user permission controls rather than sharing master login credentials.

All work product created for your account belongs to you — full IP transfer, no exceptions. Client account data, business information, and any credentials shared with us are treated as confidential and used solely to complete the agreed scope of work. We follow privacy-aware handling for sensitive customer data, and any confirmed VA misconduct is met with strict corrective action. When an engagement ends, off-boarding is completed within 24 hours: access is revoked and shared passwords are rotated.

7. Communication & reporting

VAs provide async progress updates on an agreed cadence (typically daily for Full-Time plans, and at minimum weekly for Part-Time and active Hourly work), along with a recurring check-in call. Task tracking is maintained in a shared board so you can review status at any time.

8. Working hours & response times

VA hours are allocated during standard business days unless otherwise agreed. While we aim for prompt turnaround on urgent items, VA plans are not a 24/7 on-call service; time-sensitive production issues should be flagged clearly so they can be prioritized accordingly.

9. Quality & revisions

All automation and dashboard work is tested before being marked complete. If something isn't working as scoped shortly after delivery, we'll fix it at no additional charge. Requests that expand the original scope are treated as new tasks and quoted or billed accordingly.

10. How we treat our VA team

A reliable VA is a well-supported one. We publish these terms so you know exactly what your VA is entitled to — a stable, fairly treated VA is a VA who stays on your account instead of burning out or leaving mid-project.

  • Salary paid in advance, on time — every month, no exceptions.
  • 15-day termination notice after probation — no surprise dismissals.
  • 19 paid public holidays per year (see the full list below).
  • 23 paid leave days per year — 12 annual, 8 sick, 3 emergency.
  • Two Eid bonuses per year, each 20–30% of monthly salary, once past probation.
  • A clear career path from intern through to senior permanent VA, with a minimum 5% yearly increment after 12 months.

Leave accrual & carry-forward

  • Annual leave: earned at 1 day per month, up to a maximum of 6 days carried forward into the next year.
  • Sick leave: 8 days per year; more than 2 consecutive sick days requires supporting documentation.
  • Emergency leave: 3 days per year.

11. Limitations

Our VAs work within GoHighLevel and directly connected tools as scoped. We are not liable for outages, bugs, or limitations of the GoHighLevel platform itself, or of third-party services your account connects to, though we will flag and help work around such issues where possible.
